Volume-matched maintenance schedule
Up to 50 drinks per day runs every 6 months. 50 to 150 drinks per day runs every 4 months. 150+ drinks per day runs every 3 months. Hospitality F&B and 24/7 self-service get accelerated schedules.
Office coffee maintenance
A high-volume office Schaerer pushing 300 cups daily wears three times faster than the manufacturer's stock schedule assumes. We build maintenance plans matched to your actual cup counts: monthly for executive floors, every couple of months for hotel lobbies, quarterly for low-traffic break rooms. Multi-property hotel groups and multi-floor offices get consolidated invoicing.

Volume-matched, not contract-locked
Heating elements scale up. Brew unit seals harden. Milk system air valves clog. Touchscreens accumulate firmware quirks. Every one of these has a known wear interval, and every one is cheaper to prevent than to emergency-repair at 7 AM. We build the schedule that catches them, fitted to your machine's actual volume rather than a generic "every 6 months" plan.
Why Grajqevci
Scheduled visits tuned to how hard your coffee machines works, booked in advance so service lands before problems do. A busier machine gets seen more often; a lighter one less.
Commercial coffee equipment is all we do, and coffee machines is part of the weekly rotation. Not a generalist guessing at a service manual. Genuine OEM parts, industry-standard procedures.
Flat rate for the visit, with parts billed separately. For bigger jobs you'll see a written quote on-site before we proceed.
How our maintenance works
We size the cadence to your actual daily cups, not a generic calendar, and leave a record of what was serviced and what to watch next. No lock-in contracts.
Office & hospitality maintenance scope
Tuned to your fleet's actual daily volume. Every visit ends with a written report: what was serviced, what we noticed for next time, what to monitor in between. Multi-machine sites get consolidated reports.
Up to 50 drinks per day runs every 6 months. 50 to 150 drinks per day runs every 4 months. 150+ drinks per day runs every 3 months. Hospitality F&B and 24/7 self-service get accelerated schedules.
Descaling cycle run end to end, scale buildup cleared from heating element, water filtration cartridge replaced if exhausted, hardness re-tested for confirmation.
Brew unit removed, every wear surface cleaned and inspected, seals and gaskets replaced, moving parts lubricated with food-safe grease, brew unit re-seated and test-cycled.
Milk lines, foam chamber, frother, and dispensing nozzle disassembled and sanitized. Worn O-rings replaced. Foam quality verified with a calibration cycle before we leave.
Burr gap measured, dose weighed across 5 to 10 shots for consistency, grind size recalibrated to target. Burrs replaced if wear exceeds spec.
Firmware version checked and updated where appropriate, error log read and cleared, payment system tested, controller board inspected for connector issues.

Updated July 2026
It follows daily cup volume, not the calendar. Under 50 cups a day (small break rooms): every 6 months. From 50 to 150 (a typical office floor): every 4 months. From 150 to 300 (hotel lobbies, busy executive floors): every 3 months. Past 300 (high-traffic hotel F&B, QSR fleets): every 2 months. Hard municipal water shortens all of those intervals.
A full descale cycle, brew unit removal and overhaul (seals, gaskets, cam followers, lubrication), milk system deep clean and sanitize across every pathway (pump, valves, air intake, foam chamber), grinder calibration and burr inspection, a water filtration cartridge check, an electronics health check (touchscreen calibration, sensor verification, error log review), a firmware update where applicable, and a written report.
No. We offer scheduled visits because office and hospitality fleets that use them run 10 to 14 years instead of 5 to 7, but there's no contract requirement. Call us only when something breaks, or set up recurring visits and adjust the cadence as your volume changes. No lock-in.
For a single-unit office, $300 to $500 per visit covers labour and most consumables (brew unit seal kit, milk system O-rings, water filter cartridge). Major parts (brew unit replacement, controller board, milk pump assembly) are billed separately and quoted at the visit. Multi-machine office fleets and hotel groups get reduced per-visit rates.
The brew unit comes out of the machine. Every wear surface gets inspected, seals and gaskets replaced, cam followers lubricated with food-safe grease, the brew piston resealed, the brew valve serviced. Then the unit goes back in and gets test-cycled through 5 to 10 drinks before sign-off. This is what catches problems weeks before they become machine-down calls.
Because milk residue is what fails first on Schaerer, Franke, and Eversys. Air intake valves clog (weak foam), foam chamber seals harden (lukewarm milk), milk pump impellers wear (slow dispense). We disassemble, sanitize every pathway with food-safe descaler, replace the wear parts, verify foam quality, and train your facilities team on the daily clean cycle.
Auto-descale handles the surface scale. A maintenance descale reaches the deep scale in the boiler shell, heat exchanger, and water lines that the auto cycle never touches. That matters most in Vaughan, Markham, and the outer-GTA hard-water areas, where scale accumulates 2 to 3 times faster than on Toronto municipal water.
Yes. After 5 PM, before 9 AM, and weekend visits are all standard for office and hospitality accounts. Hotel maintenance often runs in the early-morning window between overnight cleaning and breakfast service. Off-hours visits carry a small premium, quoted upfront.
Then it gets a remedial deep-service visit first: full descale, complete brew unit rebuild, milk system overhaul, electronics health check, water filtration reset, and a firmware update if one is available. All quoted upfront after a diagnostic visit. Then we set the going-forward schedule.
Only when they're exhausted. Cartridge life follows cumulative volume since the last change (a BWT Bestmax Standard typically runs 8,000 to 15,000 litres in office use), not the calendar. We test water hardness on every visit and update the filtration spec if your municipal water profile has shifted.
Yes. Office towers with machines on every floor, hotel groups across multiple properties, healthcare campuses with cafeterias and break rooms, QSR corporate fleets. One dispatch number, one point of contact, coordinated scheduling, and consolidated invoicing broken out by site for clean cost allocation.
Yes. Every visit is logged with the date, the technician, what was serviced, which parts were replaced, and observations for next visit. Useful for facilities audits, HACCP documentation, and handing off context when facilities managers change or building tenants turn over.
Most office machines are past manufacturer warranty by the time scheduled maintenance is in scope. If yours is still under warranty for a covered defect, contact the manufacturer's authorized network first. For routine wear, descaling, and filtration management, independent maintenance is the standard path.
Every visit includes a daily-routine refresh: the milk system rinse, drip-tray emptying, bean hopper top-off, a quick screen check for error indicators, and when to call us. We rerun it as your team turns over.
Maintenance is scheduled, preventive, and at your operational convenience. Repair is reactive: a specific fault, diagnosed and quoted. Office fleets on scheduled maintenance call us for repairs maybe twice a year per machine. Without maintenance, the average is closer to 4 to 6 times.
Yes, it's common: new office acquisitions, building tenant turnover, healthcare facility expansions, hotel renovations where the equipment came with the property. Diagnostic first, then a single remedial visit, then optional scheduled maintenance going forward.
No, and we don't claim to be. We're an independent commercial coffee specialist. That independence lets us recommend the maintenance schedule that fits your actual operation, not the interval a manufacturer prescribes for an idealized usage pattern.
Yes. Cafection, Necta, and Saeco vending and self-service machines in office and hospitality settings are in scope. They run a different operational profile than counter-served machines (24/7 access, less staff oversight, more wear from continuous use), so the schedule runs tighter.
On platforms that support it (Schaerer SOUL, Franke A1000, Eversys Cameo, WMF connected models), yes. We verify the current revision, push the stable release if one is available, and never run beta firmware in production fleets. Drink profiles get backed up before the update so nothing is lost in the push.
Toronto, Mississauga, Brampton, Vaughan, Markham, Richmond Hill, Oakville, Burlington, Hamilton, and the wider Greater Toronto Area. Office and hotel maintenance density is highest in downtown Toronto, the Financial District, North York, Mississauga's Airport Corporate Centre, Vaughan, and Markham, but we route into every GTA municipality regularly. Multi-site accounts are coordinated centrally.
Why call a specialist
Commercial coffee equipment is engineered to deliver 10 to 15 years of consistent service with the right maintenance schedule. Without it, you're looking at premature heating element failure, brew unit damage, milk system contamination, touchscreen replacement, and full equipment replacement years ahead of schedule.
Volume-matched maintenance catches issues weeks before they break the machine and months before they affect your guests. Multi-property operators get one schedule, one point of contact, and one consolidated monthly invoice across every site.
