Site survey and equipment recommendation

Power assessment (single-phase 240V for most super-automatics, 208/240V three-phase for some hotel-scale units), water supply specification, drainage location, footprint, and operator workflow. We recommend the right machine for your volume before quoting.

Water filtration design and installation

Water hardness testing, cartridge sizing based on daily cup volume, primary filter plus polishing filter where required. GTA water hardness varies by municipality (Toronto runs moderate, York Region runs harder), and filtration spec follows the local profile.

Plumbing and commissioning

Permanent water line install (3/8 inch most common), drain connection, and equipment commissioning. We connect the machine to the power supply you provide. Can you install a new Schaerer, Franke, or Eversys for our office?

Yes. Office and hospitality bean-to-cup installs are our highest-volume install work. Site survey, equipment recommendation, water hookup and filtration, connecting the machine to the power you provide, commissioning, and staff training are all included. You arrange the dedicated circuit through a licensed electrician to the spec we give you. Most single-machine office installs finish in one half-day visit.

What does an office coffee machine install actually cost?

The install scope (site survey, plumbing, filtration, connecting to the power you provide, commissioning, training) is quoted flat after the survey, typically $1,200 to $3,000 depending on platform and any sub-trades. The electrical circuit is the client's responsibility, arranged through a licensed electrician to our spec. Equipment cost is whatever the unit you're sourcing runs. Multi-unit office rollouts often get reduced per-machine install rates.

What electrical does an office Schaerer or Franke actually need?

Most super-automatics need a dedicated 240V single-phase circuit at 15 to 20 amps. Some larger hotel-scale units (Franke A1000, WMF 9000, Eversys Legacy) require 208/240V three-phase. We verify the machine's spec plate during the site survey and coordinate with your facilities electrician if a new run is needed.

Water filtration for an office or hotel: what do you spec?

For Toronto, Mississauga, and the central GTA: a carbon block plus standard softening cartridge (BWT Bestmax Standard or equivalent) sized to your daily cup volume. For Vaughan, Markham, and the harder outer GTA: multi-stage with additional softening, sometimes inline RO for high volume. We test on-site before specifying anything.

How long does a typical office install take from quote to live machine?

For a single unit, 5 to 10 business days from quote acceptance, gated mostly by filtration cartridge lead times. The install visit itself runs 3 to 5 hours including filtration commissioning, drink-profile programming, and operator training. Multi-floor rollouts run on a custom schedule we spec at quote time.

Will you train our facilities and break-room teams?

Yes. Every install includes operator training: the daily cleaning routine, milk system rinse, descale prompts, the common error codes and what they mean, when to call us, and what to handle internally. We rerun the training as your facilities team turns over.

Can you install a refurbished or transferred-from-another-location machine?

Yes, all of them: refurbished from a vetted source, transferred from a closed office, recovered from a defunct branch. We pre-check boiler integrity, electrical safety, and brew unit condition before commissioning. If anything needs work before it should go into service, you'll know the day of the survey.

Hotel install with F&B program: is that different from an office install?

Yes. More operational hand-offs (front desk, F&B, banquet, housekeeping coffee provisioning), tighter calibration on milk drinks, and usually more aggressive cleaning protocols for hotel-pace volume. Same install scope underneath, layered with the hospitality-specific dial-in.

Multi-floor office or multi-property hotel rollout: how does that work?

Coordinated install scheduling across all floors or sites, consistent commissioning standards on every machine, a single dispatch number for coordinating sub-trades, and consolidated invoicing broken out by site. We've run rollouts from 2 to 30 machines.

Are you authorized by Schaerer, Franke, Jura, or anyone else?

No, and we don't claim to be. We're an independent installer. That means we install machines from any vendor (manufacturer-direct, distributor, refurbisher, internal transfer), carry no brand sales quota, and recommend the platform that fits your actual operation.

How do you size the right machine for our office's daily volume?

The site survey covers your daily cup target, peak-hour load (the 9 AM rush is what stresses a machine), milk drink ratio, and floor workflow. A single mid-range super-auto handles a typical 100-person office floor. For 200+ person floors or hotel lobby duty, you're into high-volume platforms like the Schaerer Coffee Soul or Franke A1000.

What if the office space has tight clearance or unusual cabinetry?

We've handled it: built-in counter cutouts, tight breakroom alcoves, lobby-side hidden installs (Mavam, TopBrewer under-counter). The site survey identifies clearance issues, ventilation needs, and any cabinetry modifications before we commit to an install date.

Old machine still in the break room: can you remove and dispose of it?

Yes. Decommissioning, disconnect, removal, and responsible disposal are included if you confirm at quote time. For older but functional units we'll mention residual trade-in value where it applies. Better to recover something than landfill it.

Plumbing and electrical: who does what?

Plumbing and the equipment-side hookups we do ourselves, including connecting the machine to the power you provide. The electrical is the client's responsibility: you have a licensed electrician install the dedicated circuit to the spec we give you at the survey. New water supply lines or dedicated drains that need a licensed plumber, we coordinate as a sub-trade. The site survey identifies everything that's needed, so there are no install-day surprises.

Can you set up payment systems, payroll deduction, or card readers?

Yes. Schaerer SOUL with MDB payment, Franke A1000 with card reader integration, Cafection with payroll-deduction options, vending integrations. We configure and commission them as part of the install on platforms that support them.

Does installation include drink profile programming?

Yes. Every drink profile (espresso, americano, latte, cappuccino, batch coffee, any company-specific drinks) is programmed and verified before sign-off. The milk system gets calibrated for foam quality, the water filtration commissioned, and the descale counter initialized.

What invoicing terms work for office and hotel accounts?

Net terms on completion are standard. Multi-property accounts and large hotel groups get consolidated monthly invoicing broken out by site. E-transfer, cheque, ACH, or credit card. Hospitality customers can request progress invoicing on bigger rollouts.

Will you handle the install if we move the machine to a new floor or location later?

Yes. Relocations run as a follow-up project: disconnect, transport, reconnect, recalibrate, retest, and retrain the new operator team if needed. Quoted as a separate scope at the time of the move.

Can we set up scheduled preventive maintenance after the install?

Yes. Most office and hospitality accounts move onto a volume-matched maintenance plan within the first 90 days: monthly visits for high-volume executive floors, quarterly for low-traffic break rooms, custom schedules for multi-property hotel and QSR portfolios. No long-term contract required.
