Heating

Most heating timeouts come down to element scale or a tripped cutout. We descale, test the element and relay, and replace what the readings condemn.

Solenoid

Brew chamber

The brew unit hasn't made it back to its home position within the allowed cycle time, so the controller locks out brewing until it can verify the unit is home.

Likely causes

  • Grind buildup binding the brew piston
  • Worn cam followers in the brew unit
  • Failed home-position microswitch
  • Drive motor running weak

Try this first

  1. Power-cycle the machine and let the brew unit attempt to self-home
  2. Look into the brew chamber for visible grind contamination
When to call us

If the fault returns after a power cycle, the usual finding is seal wear plus a drifting home switch. We slide the unit out, fit new seals, clean the cam paths, and verify the switch actuates cleanly.

Brew Unit Motor Timeout Brew unit drive motor not advancing Critical

The brew-unit drive motor is drawing current but the unit's position isn't advancing, so the controller cuts power to protect the motor.

Likely causes

  • Mechanical bind from grind contamination
  • Worn drive gear
  • Failed motor or motor capacitor
  • Position sensor not registering movement

  1. Power-cycle and listen for the motor's normal sound
  2. Check the chamber for ground coffee jamming the mechanism

A motor timeout is a mechanical fault and won't clear itself for long. We service the brew unit end to end and replace the motor or gear if it's worn.

Bean hopper

Grinder

Milk system

The milk pump isn't drawing, or the flow meter isn't registering milk movement, so the machine aborts milk drinks rather than serve them wrong.

  • Milk container empty or the suction line lifted out

  • Air leak in the suction line
  • Milk pathway clogged with protein buildup

  1. Check milk is present and the line is seated properly
  2. Look along the suction line for kinks or air leaks

Most of these resolve to a worn impeller or a clogged pathway, both straightforward at the machine. A daily clean cycle that actually runs keeps it from coming back.

Milk Temperature Out of Range Milk heating not reaching target Warning

The milk heat exchanger isn't reaching the programmed temperature, so milk drinks pour cold or lukewarm instead of at spec.

Likely causes

  • Milk-side NTC sensor drifted
  • Scale in the milk heat exchanger
  • Milk pump pushing more flow than the exchanger can heat

  1. Order a hot-milk test drink and check the temperature at the tap
  2. Power-cycle the machine

If the test drink still pours cold, the sensor or the exchanger needs attention. We test the sensor, descale the milk circuit, and replace whichever part is failing.

Milk Cleaning Overdue Daily milk-system clean cycle not completed Warning

The milk-system clean cycle hasn't run within its configured window, so milk drinks may be locked out until one completes. It's a hygiene safeguard rather than a machine fault.

  • Daily clean prompt skipped in the app
  • Cleaning chemical empty or not detected
  • A clean cycle that started but rarely finished

Filter

On TopWater installs the filter cartridge has reached capacity, or on sparkling-capable models the CO2 supply has dropped below its threshold.

  • Filter cartridge exhausted
  • CO2 cylinder empty
  • CO2 regulator output drifted

  1. Replace the filter cartridge or the CO2 cylinder
  2. Reset the matching counter through the service interface
When to call us

Fresh consumables plus a persisting alert means the regulator or the counter retention needs diagnosing. Both are quick once we're at the cabinet.

Electronics

The Scanomat cloud has flagged a firmware update for this unit, or a previous update stopped partway through.

  • Network dropped during the update
  • Power interruption during the update
  • Firmware mismatch between controller and display

Water

The brew flow meter isn't sending pulses during dispense, so the controller can't measure volume and aborts the cycle.

Likely causes

  • Flow meter turbine clogged with scale or coffee fines
  • Flow meter cable disconnected
  • Pump losing prime
  • Brew valve not opening

  1. Listen for the pump priming when a dispense starts
When to call us

Cleaning a flow meter is routine work. We clear the turbine, verify the pulses, and chase the pump or valve if the meter turns out to be innocent.

Descale Required Descale interval reached Info

The descale counter has reached its interval, calculated from the water-hardness setting and brew volume. Brewing continues through a grace period, but the clock is running.

  • Descale interval genuinely reached
  • Counter rarely reset after the last descale
  • Water-hardness setting higher than the actual supply

  1. Run the descale procedure through to completion

When to call us

If the alert survives a completed descale, the counter or the hardness configuration needs checking. We verify both and confirm the boiler is genuinely clean while we're in there.

Sensors

The boiler's NTC temperature sensor is reading open or shorted, and the controller won't regulate heating on a sensor it can't trust.

  • Failed NTC sensor

An open or shorted NTC doesn't recover on its own. We test the resistance and fit a new sensor.

Waste Bin Counter Reached Spent-puck counter at limit Warning

The spent-puck counter has hit its programmed limit, and the machine won't dispense until the bin is emptied and the counter resets.

Likely causes

  • Bin genuinely full
  • Counter rarely reset after the last empty
  • Bin-presence microswitch reading the bin as absent

  1. Empty the bin and refit it fully seated

The cabinet door or service panel microswitch reads open while the machine is running, so the unit halts its moving parts as a safety lockout.

App Pairing / Bluetooth Fault Tap or unit not pairing with the TopBrewer app Warning

The user app can't complete pairing with the TopBrewer unit, so orders won't route until pairing succeeds.

Likely causes

  • Faulty Bluetooth module on the unit
  • App-side account misconfigured
  • Bluetooth blocked or permissions denied on the user's device
